Clockify Connector for Microsoft Dynamics 365 Business Central

The Clockify Connector links Clockify, the time tracking product from CAKE.com, with Microsoft Dynamics 365 Business Central, the ERP from Microsoft. It is built and supported by Spainlink and is not a product of CAKE.com or Microsoft.

The problem

Your team tracks time in Clockify. Your project accounting lives in Business Central. Between the two sits a gap that someone has to bridge by hand: exporting reports, reshaping spreadsheets, importing journal lines, and chasing the rows that did not land.

Manual re-entry is slow, and it is error prone in exactly the ways that hurt: duplicated entries, hours on the wrong project, postings dated on the wrong day. While the backlog waits, finance cannot see what any project actually costs. By the time the numbers arrive, the decisions they should have informed are already made.

What the connector does

When a time entry is approved in Clockify, the connector writes it into your Business Central as a project journal line and posts it to the project ledger. A webhook fires on approval, so the entry typically posts within seconds; a scheduled sync every 15 minutes acts as the backstop, re-checking a trailing window of days, so an entry the webhook misses is picked up automatically. Only approved entries sync. Pending or rejected entries never touch your Business Central. The result is per-project cost and profitability inside Business Central, kept current by the same approval step your team already performs.

Who it is for

  • Finance teams who need real project cost in the ledger, not in a spreadsheet, and an audit trail they can defend in a review.
  • Business Central administrators who want an integration that respects how Business Central works: normal journal batches, posting period checks, a least-privilege permission set, and no credentials stored in the system.
  • Decision makers evaluating whether time tracked in Clockify can drive project accounting without adding manual work.

What you get

  • Per-project profitability in Business Central. Approved hours become posted project ledger entries carrying the member’s cost, so project statements show real cost.
  • Zero duplicates, structurally. Every entry carries its Clockify entry id into Business Central, on the journal line and through to the posted ledger entry. Business Central itself refuses a second copy, so re-running a sync is always safe.
  • An immutable audit log for finance. Every write, post, and modification flag is recorded in an append-only sync log inside Business Central, with timestamps. Nothing in it can be edited or deleted, by anyone.
  • Held, never guessed. An entry whose person or project has no mapping is stored and shown as waiting. Nothing is invented, and nothing lands on the wrong project.
  • Posting period checks before every write. The posting date is validated against your posting ranges and open accounting periods first, so a closed period produces a clean refusal, not a half-finished posting.
  • Dates on the worker’s own day. The posting date is the worker’s calendar day in their own time zone, not the server’s.

What it is not

  • Not a replacement for Business Central Time Sheets in version 1. Approval happens once, in Clockify. The native Time Sheet module is deliberately bypassed to avoid double approval; a Time Sheets mode is a possible future phase.
  • It does not create invoices or set billing prices in version 1. Clockify owns cost, and each line carries the member’s cost rate. Billing and pricing remain yours to design in Business Central.
  • It does not write anything back into Clockify. The flow runs one way, from approved time to posted ledger.

If a posted entry is later edited in Clockify, the connector flags it for review and never alters the books. Corrections are made as reversal entries that net to zero and leave a full trail.
